What Does Proof-Reading Mean?

Proof-reading involves looking over and improving spelling (orthography), punctuation and grammar. The text professionals that optimise text in this manner are called proof-readers.

Usually this is one of the last stages of text editing before printing, publication, release or submission. Before reaching this point, the text would have already been revised with respect to content, structure and phrasing, and it would now simply be a matter of the last details and formalities.

In the context of scientific proof-reading, we will also check the bibliography regarding its formal correctness and consistency. Then even your footnotes and your references will be correct down to the last comma.

Extended Proof-Reading, Final Editing

Naturally, we also offer extended proof-reading, often called final editing or galley editing. Here the text is revised further with regard to unambiguous and aesthetically pleasing hyphenation, and the layout is checked.

Besides the classical aspects like spelling, punctuation and grammar, the focus is on the formatting of headings, page numbers, space between paragraphs, indentation, position of graphics etc.

Electronically or by Hand

In the case of electronic proof-reading, we implement the corrections directly in your electronic document. For example, with the track changes functionality of popular word processing programs. That way, you can keep track of and check every change. This is the simplest and most effective form of proof-reading.

Proof-reading in PDF format is also possible: in this case, we use the commenting functionality to call out errors. We can also gladly implement corrections in LaTeX and InDesign for you. We work with virtually all text and file formats.

If you don’t want electronic proof-reading, we can also mark the corrections for you by hand on paper using the standardised proof-readers’ marks according to ISO 5776 (BS-5261 or DIN 16511). You will receive texts corrected in this manner either via post or in scanned electronic format.

We Proof-Read According to Your Special Requirements

If desired, we will proof-read according to American or British spelling and take your individual writing style into consideration, for example, your in-house orthography. That way, your personal style and corporate identity remain intact.

For applications, advertising texts, press-releases and other commercial texts, correctness in terms of content and formality is particularly important. If requested, we can also proof-read for you according to the four-eyes principle.
